The Endowment Payout is generally posted in Workday in September with an effective date of 7/1. 

No, this is strictly prohibited. Endowments and Current-Use Spendable Gifts should only receive funds from external donor contributions, Endowment Payout and central office entries such as gift transfers.  Only expenses can be transferred/ charged to an Endowment or Current-Use Spendable Gift.

Deficits must be cleared by fiscal year end, per the Restricted Gifts Management Policy. However, resolving deficits as soon as possible is highly recommended to ensure accurate year-end projections and moderate volume in the lead up to year end. 

Operational journals with the “Allocation” journal source represent central office allocations used to spend the Endowment Payout in accordance with donor terms. If an allocation is posted, do not process additional journal entries, Payroll Accounting Adjustments (PAAs) or other direct charges. The allocation is designed to fully spend the available Endowment Payout.  

Endowment contributions received in the current fiscal year will not receive an Endowment Payout until the following fiscal year.

Complete the Cashier’s Office Gift Deposit Form found on the Financial Services For Departments page. Enter the appropriate worktag for the Endowment or Current-Use Spendable Gift under the “EN/GFT” section of the form. Submit it with your deposit to the Cashier’s Office. The Cashier’s Office will process the deposit and forward all supporting documentation to Advancement’s Gift Accounting Department.  For deposit related questions email cashier@brown.edu

Reimbursement and refund checks, conference and event fees collected from participants and other miscellaneous receipts should be deposited to operating funds using the Departmental Deposit Form on the For Departments page of the Financial Services website. Departments may deposit to the sales item Miscellaneous Revenue (0100).
